Why spice units are badly served by existing software
Tally records the chilli purchase and the pouch sales. The recipe is the start of a blend, not the whole of it
A masala has a recipe. The blender follows it, tastes and looks at the result, and adjusts. A little more of one component because this lot of coriander is milder, a little less of another because the chilli is redder than usual. The blend reaches standard, gets approved, and goes to packing.
The recipe is what gets recorded. The adjustment is what made the blend correct, and it is usually not recorded at all.
That omission costs in three ways. The cost of the blend is wrong, because the components consumed do not match the recipe and the difference lands as a stores variance rather than as product cost. The consistency history is lost, so when a customer says a batch tastes different, there is nothing to compare. And the knowledge sits with one blender, which makes the business dependent on a person in a way that becomes visible only when they are unavailable.
Recording each adjustment at the point it is made changes all three. Over a few months, patterns emerge: which raw material sources need most compensation, which products are formulated so tightly that every batch needs work, and which adjustments recur often enough that the recipe itself should change.
Grinding trades fineness for aroma
Grinding generates heat, and heat drives off volatile oils, which is where much of a spice's aroma lives. Finer grinding means more heat and more loss. Slower feed means less heat and less throughput. A mill pushed to clear a backlog produces a product that meets its mesh specification and smells weaker than the last batch.
Most units know this and manage it by experience, which works until the person with the experience is not there or until throughput pressure overrides judgement. Because grinding parameters are rarely recorded against the lot, a batch that arrives at packing with less aroma than usual cannot be traced to the run that produced it.
Recording mill, mesh, feed rate and where possible outlet temperature, against the lot being ground, makes the trade-off visible. It also gives a plant considering cryogenic or chilled grinding an actual baseline to compare against, rather than a supplier's claim.
An export rejection is decided by records you already had
Export consignments are tested for contaminants and residues, and the limits are set by the destination market. A consignment rejected at the destination is a substantial loss, and the argument that follows is settled by documentation.
What makes this manageable is testing at lot level on the way in, held against the lot, and carried through the blend to the finished pack. A unit that tests only finished goods learns about a problem after the raw material has been consumed into several blends, which multiplies the exposure. The traceability link matters just as much. When a question arises about one consignment, the ability to say precisely which lots it contained and which other consignments used the same lots is what bounds the problem. Without it, the exposure is everything shipped in the relevant period.
